How do I learn about and change my email service option?

HERO PM Websites provide four service options for handling your email:

  • HERO MailA: This is the default option, and provides full email processing, queueing, management, and spam filtering service for all of the domains that are connected to your website.  HERO Mail also includes a Webmail client on your domain.
  • Your own email serverB: You can host your own email server, such as Exchange.
  • Google WorkspaceC: Google provides a robust email service for a fee.  This directly integrates with your primary domain.
  • Microsoft 365: Microsoft provides a hosted version of their Exchange email service for a fee.  This integrates with your primary domain.

To change your email serviceD:

  1. Be sure that your email service is fully configured.  Making any changes before your email service is configured and tested will result in a loss of email.
  2. Log in to your Website Admin Panel (this function is available to website administrators only, website editors do not have access).
  3. Select the Tools view.
  4. Select Change Email Service.
  5. Select your desired email service from the Change Email Service options list.
  6. Enter any values required for your selection (if you are unsure of the values, check with your email hosting service).
  7. Select the Change Email Service button.

The change will be queued and will process within 30 minutes.  Once DNS changes fully propagate, your email will all be routed to the new service. Because DNS changes may take up to 72 hours to propagate depending on your ISP, we generally suggest making this change over a weekend. 

Special Notes:

A: HERO Mail supports passive (pass-through) email account forwarding and active email account forwarding.  If you want all of your email to go to a Gmail, Ymail, Live mail, or other such account, simply set up your accounts with HERO Mail, and forward them to your desired email account.  This provides you the business benefit of a domain-based email account (your_name@your_domain.com) along with the convenience of all of your email in one familiar place.

B: Your own email server (self-hosted): To route email to your own email server, you must know the IP address of the server.  Email will still be routed through HERO's robust filtering and queueing system to provide you with filtering, security, and queueing.

C: Google Workspace: To use Google Workspace, your business account must be configured, and your primary domain must be verified through Google.  Google provides test accounts to confirm your email is working before you connect your live domain.

D: If the Change Email Service option is not available to you, your website version may not support automated email service changes.  In this case, contact us for information about upgrading to a current website version. 

HERO does not support any other integrations for email.  We have chosen to integrate with only those services that provide reliable email delivery.  If you are being told to chose another option, please carefully consider how important email is to your business.  There are many people who would love to make money by managing your email, but realize that there are only a small handful of highly reliable email service providers (GoDaddy and 1&1 are not on this list due to high downtime).  If you absolutely must chose an alternate service, this can be done by moving your domain to a provider that supports other options, forwarding the web portion of that domain to your website with HERO, and registering an alternate domain with HERO for your website to be hosted on.
