What are the priority and importance scales and how do I use them?

Harmony provides you the ability to set the priority and importance of certain items, which impact how competing items are resolved.

Priority controls how things are ordered in a list. For example, if a tenant provides a partial payment, higher priority charges are paid before lower priority charges. If there are other factors that control the order of a list, priority has an impact within the scope of the established order. For example, if you have two invoices both due today, the higher priority one shows before the lower priority one, but an invoice due yesterday will display above both.

Importance is an indication of something's impact, and is primarily used for your own time/task management. If two tasks need to be done, and you've run out time to do both, one with higher importance should be done first and the one with lower importance should be deferred.

You can override a defined priorty and importance in most places, but they'll determine the natural order of items.

To set the priority or importance of an item, simply grab the diamond and drag it left (lower) or right (higher). The size of the colored center in a priority or importance indicator shows the selected level, where a larger colored area indicates a higher value.

Payees

When paying a vendor or a source, their priority to pay setting determines who gets paid first when there are insufficent funds to pay everyone.

Charge/Bill Codes

When receiving a payment on a charge or paying a bill, those with a higher priority to pay will be selected first. For example, if you want a tenant's check to pay late fees before rent is paid, set the late fee charge code to a higher priority than the rent charge code.

Maintenance

When processing maintenance, work requests and work orders with a higher priority should be completed before those with a lower priority, in a given timeframe.

Activities

When performing a task, joining a Zoom call, picking up supplies, or anything else in your activities, both priority and importance should be considered. Activities (task and project management) in Harmony are inspired by the GTD® system, which helps you get more done in less time with less stress. Priorities and importance allow you to best resolve competing commitments.
