What are projects and campaigns, and how do I configure their templates?

Projects and campaigns are a group of things to do. They consist of multiple activities, on a timeline. A project or campaign can contain any number of activities. This feature allows you to pre-define a series of events by creating a template for multi-component projects or campaigns that are completed automatically by the system, in stages over time, and/or by several different people.
Once a project/campaign template is defined, it can be easily added to the company or to any person. From there, the system will automatically send messages and reminders, and each person will be able to perform their part in series. From the project/campaign, you can track each component activity, adjust timeframes, reassign responsiblity, and more.
Following are a couple of examples to help you understand what a project or campaign may look like.
New owner campaign, added to an owner prospect when they express interest in management:
- Communication: Call the owner on day 1 to discuss.
- Task: Put together a rental CMA on day 1.
- Communication: Email the CMA to the owner on day 1.
- Communication: Send a templated message on day 2 about the benefits of working with your company.
- Communication: Send a templated message on day 4 to highlight the benefits of professional management.
- Communication: Send a templated message on day 10 to remind the owner of the headaches of self-management.
- Communication: Send a templated message on day 20 to let the owner you're still here and accepting new clients.
- Communication: Send a templated message on day 30 with offers and promotions.
- Communication: Send a templated message on day 45 with client testimonials.
At any time during the campaign, if you sign the owner, simply mark the campaign done.
Tenant turnover project, added to a tenant when they send notice to non-renew or vacate:
- Task: Record the notice on day 1 and determine if there is an early termination penalty.
- Communication: Call the tenant on day 1 to confirm and advise of next steps.
- Task: On day 2, determine date for inspection and schedule.
- Task: Review unit listing on day 2, research and set the new rent, and advertise the property.
- Event: On day 15, schedule an appointment with the tenant to collect keys and garage door opener.
- Task: On day 32, review inspection report and ensure all vendors are scheduled.
- Task: On day 35, review work orders and determine if security deposit disposition can be sent, or reschedule for later.
- Communication: On day 45, send templated message to tenant to thank them for your wonderful time together.
Note that your template will contain a specific order and schedule for project/campaign components, but they can be individually adjusted as needed when you add the project or campaign to the person, and at any time thereafter, depending on completion of the preceding activities.
To add a project/campaign template go to Settings > Activities & Checlists > Project/Campaign Templates. Select the Options icon, then Add Project Template.
Input a name for this project/campaign that allows you to easily identify it, then add each component activity one at a time with the Add Activity button.

When you are done, select the Save button.
Once you have created the template, it's available in the Activity Group section for any added activity. Additional details on adding activities are available in other articles. When you add the project or campaign to a person, the entire set of activities from the template are added for this person, along with the project/campaign record that graphs the schedule and completion of component activities. From here, you can custom content, priorities, schedules, and more, to suit the specific application.
