Lookup a Document: Use the “Lookup a Document” option to quickly locate a specific document.  (Figure 33a)

1.Click “Lookup a Document” to open the document search screen.
2.Enter the document search parameters (Assigned to ID, Filename, Document Name, and Document Subject). Only enter the information  necessary to search for and locate the document(s) -  the search function does not require that a search parameter be entered into every field.
3.Restrict the search to a specific posting time frame using the radio buttons at the bottom of the screen.
4.Click “Find Document” to display the search results.

View all Documents:  Use the “View all Documents” option to display a list of all the documents in all the folders for a specific profile type (Owner, Tenant, or Vendor).

 

The document list presents the following document management options:  Delete, Edit Info, View/Print, Email, and Attach (owners only).  (Figure 33b)
 

1.Delete: Click the “Delete” icon to remove a document from your clients online filing cabinet.

 
If you need to replace a document with an updated version, first delete it from the document list, and then upload it again.  As long as the updated document has the same name and file format (.doc, .pdf, .jpg, etc.) as the original, it is unnecessary to change any statement links.
 

2.Edit Info: Click the “Edit” icon to edit a document's subject, and/or description.  Click “Save” to process the changes.
 
You are not able to reassign a document from one client to another. If you mistakenly add a document to the wrong client, delete it and add it again to the correct client.

 

3.View/Print: Click the “View/Print” icon to open and view a document.  Your Internet browser settings, your application settings, and your operating system settings will all affect the way the document opens.  It may open with an Open/Save dialog box, open in its own viewer or application, or open inline directly with your browser. You may close the document window when you are finished viewing the document.  In some cases, you may need to use the Windows CTRL-P command or your browser's right-click menu to print the document.
 
4.Email: Documents of type .htm and .txt can be emailed to a client.
 
5.Attach:  (Owners Only) Link a document to a line item in a owner's active online statement
